Getting these right means calls route correctly, recordings land where you expect them, and you always know which line a call is coming from.

Steps

  1. Access phone number settings

    Go to Settings in the left sidebar of the sub-account, then click Phone Numbers. Find the number you want to configure, click the three-dot icon next to it, and choose Edit Configuration.

  2. Rename the number and set call forwarding

    Give the number a friendly name, such as the business name, so it is easy to identify. If you want inbound calls forwarded to a mobile or landline, enter that number in the forwarding field.

  3. Choose your caller ID preference

    Enable the option to show the GoHighLevel number on your screen when a forwarded call comes in. This tells you the call is business-related before you pick up. A separate option allows the GoHighLevel number to appear as the caller ID on outbound calls to contacts, but only works on verified numbers.

  4. Enable Call Connect if needed

    Call Connect requires the recipient to press a key before the call is bridged to the contact. This prevents voicemails from connecting as if they are live calls.

  5. Configure a whisper message

    A whisper message plays only to you, not the caller, at the moment the call connects. Set it to something like 'Call from your agency name' so you always know the context before you say hello.

  6. Turn on call recording

    Checking the call recording box records every call automatically and saves the audio file inside the contact's conversation thread in GoHighLevel. If you record calls, add a whisper message that discloses this to the caller to stay compliant with recording laws in your region.

  7. Set ring and timeout durations

    Incoming call timeout controls how long the GoHighLevel number rings before timing out. If you forward calls to a personal phone and do not want your personal voicemail to pick up, set this to a short value like four seconds. Outgoing call timeout sets how long an outbound call rings before dropping.

  8. Assign the number to users or devices

    Use the Ring Incoming Call To dropdown to select which users receive the call. In user settings, choose whether calls ring on the web app or mobile app. If both are selected for a user, only the web app will ring.

Tips

  • If you upload a voicemail greeting, go to Business Profile and upload an MP3 file there. The phone number settings do not have their own voicemail upload, that lives in Business Profile.
  • Setting the incoming timeout to one second sends all calls straight to voicemail without ringing any forwarding number.
  • Test call recording by calling your own number and checking the Conversations tab afterward to confirm the recording appears.
