How the totals are calculated
Each line item multiplies its quantity by its rate to get a line amount. We add up every line to get the subtotal. Then we subtract your flat discount, if any, to get the discounted amount. Tax is applied to that discounted amount, not the original subtotal, which is the order most tax rules expect. The total is the discounted amount plus tax.
In short: subtotal, minus discount, plus tax on the result, equals total. The totals box shows each step so your client can follow the math, and so you can check it before you send.
Tips for invoices that get paid faster
Use a clear invoice number and keep them in order. INV-001, INV-002, and so on works fine. A consistent sequence makes your books easier and looks more established to a client.
Always set a due date. "Due within 14 days" gets paid sooner than an invoice with no date, because a blank due date reads as "whenever". Put the terms in the notes field too.
Be specific in line item descriptions. "Website work" invites questions. "Homepage design, 2 rounds of revisions" does not. Specific descriptions cut down on the back-and-forth that delays payment.
Send the invoice the day the work is done, not at the end of the month. The value is freshest in the client's mind right after delivery, and an early invoice starts the payment clock sooner.
