A Smart List is like a live query against your CRM. You define the rules once, for example "all contacts tagged 'hot-lead' who have not booked a call in the last 14 days", and GoHighLevel shows you exactly those contacts every time you open the list. As contacts meet or stop meeting the criteria, they appear or disappear from the list automatically.

Smart Lists are the main way agencies segment their contact database for targeted campaigns. Instead of manually searching for the right people every time, you build a Smart List once and it is always ready. Common uses include re-engagement campaigns, follow-up reminders, and bulk tag operations.

Smart Lists also drive automations. You can set a workflow to enroll contacts when they enter a Smart List. This means any contact who meets the criteria, now or in the future, automatically gets added to a follow-up sequence.

How it works

You create a Smart List from the Contacts view. Click "Filters", add your criteria (tag, source, date of last activity, custom field value, pipeline stage, and more), then save the filter with a name. GoHighLevel saves the filter as a named view in your sidebar.

From a Smart List view, you can select all matching contacts and perform bulk actions: send a campaign, add a tag, assign to a workflow, or export to a CSV. The list shows the live count of matching contacts at the top so you always know how many are in scope.
