In short
- A smart list is a saved contact filter, not a fixed list of names.
- Build it in Contacts: apply filters, then save the view with a name.
- It updates on its own as contacts match or stop matching the rules.
What is a smart list in GoHighLevel?
A smart list is a saved, filtered view of your contacts. You set the rules once, and GoHighLevel shows you every contact that matches those rules right now. When a contact starts or stops matching, the list updates on its own. You do not add or remove people by hand.
Think of it as a live question you ask your contact database, saved so you can ask it again with one click. For a plain-English definition, see our glossary entry on a smart list.
A quick disclosure: rocketlauncher.ai is a live GoHighLevel showcase, and we earn a referral commission if you start GoHighLevel through our link. This guide is written from real setups on our own accounts.
How do you build a smart list step by step?
Open Contacts from the left menu. This is your full contact database, and the smart list is built right on top of it.
Click into the filters and add your rules. You can filter on tags, custom field values, contact source, last activity or last message date, pipeline stage, and more. Stack a few filters together to narrow the view, for example contacts tagged hot-lead who have no booked call.
Check the count at the top of the list. It shows how many contacts match your rules right now, so you can tell if the filter is too wide or too tight before you save it.
Save the filtered view and give it a clear name. GoHighLevel stores it as a named smart list you can open from the sidebar. Next time, you click the name and the filter runs again against your current contacts, no rebuilding needed.
What can you do with a smart list once it is built?
A smart list is where segmenting and bulk actions come together. Open the list, select the matching contacts, and act on all of them at once. You can send a campaign, add or remove a tag, assign them to a workflow, or export them to a CSV.
Because the list is a live view, it doubles as a dashboard. Keep a smart list of hot contacts open and you always see who is warm today without searching for them again.
A common lead gen example: you scrape new business leads off Google Maps and sync them into GoHighLevel, then build a smart list for contacts with the source tag from that import and no first message sent. That list becomes your daily outreach queue, and fresh leads drop into it as they come in. Our free lead generation tool handles the Google Maps part and pushes the contacts straight into GoHighLevel.
Smart list vs static list: what is the difference?
A smart list is a saved filter, so its members change as your data changes. A static list is a fixed set of contacts you picked once, and it only changes when you add or remove someone by hand.
Use a smart list when the group is defined by a rule, like every lead tagged this month with no reply. Use a static list when the group is a one-time hand-picked set, like the twelve people you invited to a specific event.
Most day-to-day segmenting in GoHighLevel runs on smart lists, because the whole point is that the list keeps itself current.
