What GoHighLevel Calendars does
GHL Calendars is a scheduling system built into the platform. When a contact books a time slot, the appointment appears in the GHL CRM as an appointment record linked to that contact.
You control availability: set your working hours, block specific times, set minimum notice requirements, and set a buffer between appointments so you have time to prepare.
Calendars sync with Google Calendar and Outlook. When a contact books through GHL, the event appears in your external calendar. When you block a time in Google Calendar, GHL marks that slot as unavailable.
Video conferencing is built in. You can auto-generate a Zoom or Google Meet link for each booking. The link goes into the confirmation email and the GHL appointment record.
Calendar types in GoHighLevel
Individual calendar: one person, one booking link. The simplest type. Good for a consultant or sales rep with a single booking page.
Round-robin calendar: multiple team members share the booking link. GHL routes each new booking to the next available person in the rotation. Good for a sales team with multiple closers.
Collective calendar: all team members must be available for a booking to be offered. Used for meetings that require everyone in the room.
Service calendar: designed for service businesses with multiple service types, each with its own duration and availability. A medspa, for example, can have one calendar for consultations and another for treatments.
Class calendar: multiple contacts can book the same time slot up to a set capacity. Good for group coaching, webinars, or classes.
How booking reminders work
When a contact books an appointment, a workflow can fire automatically. The default trigger is Appointment Status and you set the status to Booked.
A typical reminder sequence sends a confirmation SMS immediately after booking, a reminder SMS and email 24 hours before, and a final reminder 1 hour before. All of this runs inside GHL Workflows without any third-party tools.
If a contact reschedules or cancels, GHL fires an Appointment Status Changed trigger. You can build a workflow that handles rescheduled contacts differently from no-shows.
GHL Calendars vs Calendly
Calendly is a standalone scheduling tool starting at $10 to $16 per user per month. It does basic scheduling well but does not connect natively to a CRM, SMS, or marketing automation.
GHL Calendars do everything Calendly does for scheduling, but every booking automatically creates or updates a CRM record, can trigger a full workflow sequence, and connects to Voice AI and Conversation AI for follow-up.
If you are already on GHL, you have no reason to also pay for Calendly. The GHL calendar covers the same booking functionality and ties into your existing CRM and automation.
